Certified translation services are frequently requested from our customers.   Some certified document translations are requested for purposes such as insurance and financial operations, international litigation and others are for USCIS purposes.  

USCIS stands for United States Citizenship and Immigration Services, a government agency that processes applications for immigration, citizenship, adoption, working in the U.S and more.  The application process requires that all documents submitted in support of an application or petition include a complete translation into English. 

What Types of Translations Do You Need?

Document translation requirements can vary depending on the application you are working on.  Below, is a list of a few of the translation services that are often requested for USCIS purposes:

Important:  Read all instructions within the application, ask questions and research to determine what documents need to be translated and what type of certification is needed.  A translation company is not a reliable source for questions regarding such requirements.  We’ll deliver the best certified translation to help make your application process a success, but we won’t be able to tell you what documents you need translated!  Seek the advice of your lawyer or requesting organization, when in doubt. 

Certified Translation- Not Just Any Translation

In addition to including a complete English translation of the requested documents, USCIS requires a certification attesting to the accuracy and completeness of the translation and the translator’s competence to translate.

To ensure the acceptability of your certified translation, you’ll need to seek the services of a professional translator or translation agency experienced in delivering official translation services for your specific need.  Some customers have contacted us with rejected third party translations that did not follow the guidelines of the USCIS. 

Notarization and Apostille

Some organizations require the certification of the translation to be notarized. Be sure to inquire about this, so that you can request the document be notarized. When a translation is going to be presented in a foreign country, it may required to have an apostille authentication pursuant to the 1961 Hague Convention. The apostille certifies the signature and capacity of the person certifying the translation. Signatory countries of the Hague convention have agreed to recognize documents issued in another signatory country as valid.

In addition, if your domestic education requires a Canadian equivalent evaluation, current Canadian evaluation institutions (WES, CES, ICAS, and MCC [medical]) require that the submitted educational materials must first undergo a Certified Translation.
ATIO (Association of Translators and Interpreters of Ontario) is the only translation certification and licensing agency authorized by law in Ontario.
According to Ontario law, "Certified Translator" is the exclusive title of a certified translator registered and licensed by the Ontario Translation Association (ATIO). The unauthorized use of the term 'Certified' without being registered and licensed by ATIO, whether used alone or in conjunction with other words, names, titles, or titles, whether directly or implicitly, violates Chapter 8 (2) of the Association of Translators and Interpreters of Ontario Act 1989.
Attention to customers:
In Canada, as a formal document for important purposes, if the original text is not in English or French, government departments and professional institutions only accept ATIO/CTTIC certified translations. Any other translation or notarization, including domestic notarization, so-called translation companies, and translations stamped by law firms, may not be accepted. A typical example is a Chinese driver's license.
A formal translation document must be stamped and signed by an ATIO certified translator in order to be valid.
Can documents submitted to various government departments in Canada be translated by themselves? The answer is NO! Certified translation is required for documents in non English/French, such as naturalization, renewal of Canada Permanent Resident Card, driving test, admission, reimbursement of drug expenses, etc. In this Q&A, we will answer various questions about certified translation.
What is Certified Translation?
Certified translation in English. It is a translation made by qualified translators and is widely recognized by various government agencies, schools, hospitals, and industry associations in Canada.
Who can do certified translation?
Translators who have been granted Certified Translator qualifications by the Canadian Translation Association (CTTIC) and provincial translation associations are eligible to perform certified translation. And there are differences in translation directions for translators, such as Chinese to English directional translators, English to Chinese directional translators, or Chinese to English bidirectional translators. Only certified translators who provide translations in accordance with the certified translation direction have the legal effect of certified translation. So far, all STIBC certified members have at least 4 years of translation work and learning experience.
Which documents require certified translation?
Various documents dealing with Canadian federal and provincial government agencies, professional/industry regulatory agencies (such as the Bar Association, various medical societies, professional engineer associations, teacher associations, etc.), higher education institutions, and other formal institutions, if not in English/French, are generally designated by these institutions to be provided by ATIO certified translators to ensure the professionalism and authority of the translation.
Translations authorized by law and stamped and signed by ATIO certified translators belong to "Certified Translation", and the authenticity of their content has legal effect and is recognized by government departments at all levels. That is why, except for individual special requirements, all documents used in Canada, such as legal documents, immigration documents, documents and licenses of the Ministry of Transport, birth certificates, marriage certificate, graduation certificates, etc., only need to be translated, sealed and signed by an ATIO certified translator to be generally recognized and accepted.
What is the difference between certified translation and notarized translation?
In Canada, the concept of "notarization" is slightly different from that in China. The notarized content is the translator's own declaration. Declare that the document is translated by the person, and may add "ensure the translation is faithful to the original" and other contents. What is notarized is only the signature of the translator on the document, proving that the name is his own signature, and will not notarize, nor can it notarize the quality of the translation, because the lawyer/notary is not obligated, nor qualified to be responsible for the accuracy and validity of the translation. So, the only certified translation that is widely accepted by almost all government agencies and non-governmental organizations is ATIO.
